Questions we get from brokers.

Are we even allowed to process personal insurance data through a chatbot?
Yes, provided it's set up properly. HeroChat stores data in Germany, processes AI requests in the Azure data centre in Frankfurt, and provides the Art. 28 GDPR data processing agreement. Health data under Art. 9 GDPR — in health or income protection lines, for instance — carries stricter requirements: during onboarding we configure those topics so sensitive details go straight to your team rather than being answered automatically. You remain the controller under data protection law; we supply the paperwork for it.
Does the AI replace our IDD advice documentation?
No, and it shouldn't. HeroChat is a communication tool. It keeps a complete record of what was discussed in chat and makes it exportable — the advice documentation, the suitability assessment and the demands-and-needs test remain your responsibility and your agency system's.
Can we message existing clients on WhatsApp?
There's a distinction to make. Contract-related messages the client initiated are straightforward. Marketing contact — pointing out additional cover, say — requires documented consent for that channel. HeroChat collects that consent, logs it and keeps the two cases apart. When in doubt, clear it with your data protection officer.
How does the AI learn our expertise?
From your own material: policy wordings, product information documents, internal FAQs, process descriptions. We set this up together during personal onboarding. What the AI can't answer confidently, it doesn't answer — it hands over to a person rather than guessing.
Can HeroChat connect to our agency management system?
Through the REST API and via Zapier, Make and n8n, matters can be pushed into almost any system — a completed claim notification as a structured record, for example. Whether your particular system offers a suitable interface is something we check honestly upfront, before you commit.
